Platform

One case. Six stages. Every kind of worker.

Every step of a case runs on RPA, an agent, an API or a person. The case carries its policy, cost and evidence throughout.

01Orchestrate

Whole processes, run as one

A process is one rail. Cases enter at the trigger, and Optomo makes every hand-off. It schedules work from queue depth and SLA and balances workers. The moment one worker is done, the case moves to the next.

  • 86% less team time spent running bots by hand
  • 96% fewer failed runs to chase

Queue-aware scheduling

Runs go to a worker with capacity, by queue depth, SLA and service window, so nothing waits behind an idle license.

Retry and reroute

A failed run is retried, rescheduled or rerouted within your rules, before anyone opens a ticket. An unhealthy worker leaves rotation until it recovers.

Cases, not runs

Every step, hand-off and outcome sits on one case record, whichever platform, agent or person did the work.

Queues and assignment

Cases arrive from an API call, an email or a file, and go to a team, a person or the matching workflow.

02Govern

Set a policy once, enforced everywhere

Approval thresholds, spend caps, screen recording, data residency and roles are defined once and inherited by every workflow and every agent action. The audit trail is append-only and exportable per case.

SLAs and service windows

Every step inherits the SLA and hours you set once, and a case at risk escalates before the deadline.

Roles and access

Roles per workspace and workflow, SSO via SAML or OIDC including Entra ID, and four-eyes approval where needed.

Audit trail per case

Every action, decision and hand-off goes to an append-only trail you can search and export per case, with screen recordings where you enable them.

03Agents

Agents with budgets and thresholds

Any model provider. Each agent gets its tools, a spend cap and an approval threshold; personal data is redacted before a model call. Outside the rules, a person decides, on record.

Tools and spend caps

Each agent has an allow-list of tools and a spend cap per run, and hands the case on at the cap.

Data redaction

Personal data is redacted before any model call, whichever provider you use.

Human escalation

Outside its threshold, an agent routes the case to a person with its draft and the reason, on record.

Decision traces

Each agent step records its tools, output, reasoning and confidence, kept in your estate by default, so you see why, not only what.

04Monitor

Every run, SLA and failure in one place

The Cockpit shows every automation with its last status and SLA, the run history per process, and what Optomo did about the failures. Recovery happens before anyone opens a ticket.

One Cockpit

Runs, queues and SLAs across RPA, AI agents, APIs and people in one view, down to the workflows that fail most.

Automatic recovery

Failed runs are retried and rescheduled automatically, and the case records what failed and what Optomo did. With recording on, replay the failed step as the worker saw it.

Alerts for decisions

A person is alerted only for decisions that are theirs, and what Optomo recovers itself is logged, not escalated.

05Insights

Cost and return, per process

Licenses, VDI time and agent spend are tracked against cases completed and hours returned. Idle licenses are flagged, cost per case trends over time, and payback is calculated on your own data.

  • 45% fewer licenses to pay for
  • 20 to 30% more volume on the licenses you have

License utilization

Idle licenses and workers are flagged over time, so you can reassign or retire them.

Cost per case

Licenses, VDI time and agent tokens add up to a cost per case, per workflow and per agent, over time.

Value by process

Hours returned and money saved per process, against the manual baseline and on your own data.

Forecasting and reporting

Project license, worker and token needs from current growth, and export the data to BI or finance via API.

06Workflow

One canvas, every kind of step

Trigger, AI step, approval branch, RPA step: build the process on one canvas, configure each step in place, test-run it, publish a version. Governance is inherited, not rebuilt.

Built-in triggers

Start a case from an email, a schedule, a file, a queue or an API call, with its data.

Conditional branching

Route a case on its data, a deadline or the last step's outcome, set on the canvas without code.

Human steps

Put a person in the flow with a form, an SLA and an escalation path, routed by role or team.

Versions and test runs

Each change is a new version you can test-run before it goes to production.

Connects what you already run

Connected in week one, orchestrating in week two. Nothing is migrated.

RPA

Existing processes appear as stages. RPA workers are scheduled, monitored and recovered by Optomo.

AI agents

Any model provider, each agent with tools, a spend cap and an approval threshold.

APIs and systems

ERP, HR, CRM, ticketing and email as triggers and steps.

People

Approvals and decisions with an SLA, a form and an escalation path.
